Position Overview
We are seeking a highly organized, detail-oriented Administrative & Client Support Specialist to join our team. This role is central to ensuring smooth daily operations, supporting both our doctors and clients, and maintaining the high standards our organizations are known for. The ideal candidate will be a strong communicator, comfortable juggling multiple responsibilities, and committed to delivering an outstanding client experience.
Key Responsibilities:
- Serve as the first point of contact for incoming calls, emails, and messages, ensuring prompt, professional, and courteous communication.
- Manage scheduling for doctors and clients, including appointments, follow-ups, and priority calls.
- Support client communications by relaying updates, gathering information, and ensuring timely responses.
- Upload lab results and maintain accurate, organized client records.
- Oversee inventory management, including restocking office and supplement supplies.
- Assist with shipping and order fulfillment as needed.
- Perform general office tasks to keep operations running efficiently.
- Maintain confidentiality and comply with company policies at all times.

Requirements
Job Requirements:
- Previous administrative or office experience (healthcare or wellness preferred)
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to manage multiple priorities
- Professional demeanor and adaptability in a busy environment
- Comfortable with computers, scheduling software, and Microsoft Office Suite (ActiveCampaign or similar platforms a plus)
- Ability to work independently while being a reliable team player
- Interest in health, nutrition, or functional medicine is a plus (not required)
Full-time | $16–$20/hour, based on experience and qualifications
